From Paper CRFs to a Multi-Center EDC Registry

A pediatric rheumatology research network needed to run a Juvenile Idiopathic Arthritis (JIA) registry across multiple hospitals, capturing initial assessments, admission records, and correction forms with ILAR-diagnosis logic. Paper case report forms made version control difficult, slowed down multi-center coordination, and left no structured way for a supervisor to review and approve specific sections of a submission before it counted as final.

InsightTech deployed AlcoaNexus, using its dynamic form template builder to model the registry's assessment, admission, and correction forms as schema-driven templates that could be versioned without code changes. Researchers submit through a controlled lifecycle — draft, submitted, under review, revisions needed, approved, locked — and supervisors review and approve individual sections rather than entire forms at once.

Organizations, centers, and role separation (SuperAdmin, OrgAdmin, Supervisor, Researcher, Data Scientist) gave the national coordination team oversight across every participating hospital, with every change captured in an audit trail.
